EXHIBITOR MOVE-IN TIMES

All exhibitors must be officially registered before set up. Please come to the show office and staff will direct you to your booth.
All exhibits must be complete by 6:00pm - Friday. Exhibitors will not be permitted to set up during show hours.
The aisle carpet will be in place Saturday morning. Dollies or carts WILL NOT be permitted on the carpet. Hand carried items only may be brought in on Saturday morning.
LOADING DOCKS
Exhibitor and freight entry to the West Building is via the West Truck Route off of Waterfront Rd. The West Truck Route has two-way traffic and is 28' wide and 17' maximum height. The loading area consists of 22 loading bays that can accommodate up to full-sized trailers. 7 bays have dock levelers. Loadiing dock clearance is 17' high, 12' wdfe. Each Exhibit hall has drive -on access through overhead doors. West Exhibit Hall measurements are as follows:

VEHICLES ON THE SHOW FLOOR:
Any vehicles to be displayed are subject to the following conditions:
- Fuel tanks must not be more than 1/4 full
- Fuel caps must be taped or locked shut
- Drip pans must be placed under vehicle
- Ignition must be disabled or the vehicle locked and hood inoperable from the outside of the vehicle
- Keys must be left with guest services Vehicles equipped with pressurized nitrous oxide tanks must have the tanks emptied prior to display in the facility. For safety reasons the use of spray bottles for cleaning and detailing of display vehicles is prohibited inside as the overspray can create a slippery and therefore dangerous floor surface.

You may ship your materials directly to the show during move-in hours. During move in hours, show management will accept shipments on your behalf. These will be left on the dock until you arrive.

Move-out will begin Sunday, April 25, 2010 at 5:15 pm, once the show has been cleared and the aisle carpet has been lifted.
Items left on the show floor after move-out is completed, will be forced off the floor and a charge will be incurred. To avoid this, all materials must be removed by 10 pm. Sunday, April 25, 2010.

If you are sampling a food or beverage product THAT DOES NOT MEET THESE CRITERIA, you must complete the Temporary Food Services Application and return it to Lynn McVey no later than Wednesday April 7, 2010. We will submit all applications to the Health Department by the cutoff date.
There may be an additional charge for sink rentals dependent on what the Health Department requires for your sampling products.

Name badges, will be available for your staff, providing we receive the names by April 16, 2010. If we do not receive them by this date your badges will contain only your company name. Please email the names to
badges@nationalevent.com.
We ask that you limit the number of staff in a 10x10 booth to 4 at any one time. Badges will be available for pick up at the Show Office during move-in and they must be worn at all times to gain admittance to the Show.
If you require extra free tickets for colleagues, family members, etc., please contact Rosemary Lanni at rlanni@nationalevent.com. These will be left for pick up at the show.

National Event Management Inc. will not assume responsibility for losses or damages incurred from pilferage or any other causes. Exhibitors should take all possible precautions to protect their own property, including insurance for liability within your booth space.

No exhibit may exceed a maximum height of 8 ft. Side panels 8 ft. high, must not exceed a depth of 4 ft. extending from the back of the display. The remainder of the 6 ft depth from the front of the booth, must not exceed a 4ft. height. Any exception to this must have pre-approval from Show Management.
Prefab booth partitions must be finished on both sides. If they are not, please request drapes prior to the show.
No signage or material may be extended above the 8ft height at the back of your booth nor hung from the ceiling or across the aisle, without approval from Show Management.
Displays, demonstrations or distribution of advertising materials, are not permitted outside the confines of your booth. The use of microphones is not permitted without prior management approval.
National Event Management is obligated to abide by the Fire Code regulations in each city. We therefore retain the right to refuse any material or object that does not confirm to code. Animals or pets, with the exception of service animals are not permitted in the Vancouver Convention Centre except as an approved exhibit, activity or performance legitimately requiring use of animals. Such animals or pets must be on a leash or in an enclosed pen, and under control at all times. The owner must take full responsibility for his or her pet.
Helium-filled balloons and other inflatable items must be approved by your Event Manager. Due to the complexity and costs of retrieving balloons from various areas within the facility, we request a deposit and signed waiver form when helium balloon decor is planned. If retrieval does not become necessary, the deposit is refundable post-event.
